Archiving the Past School Year's Data to Make Room for the Upcoming Year.
1
Data Closeout - When the end of a school year approaches, MySchoolWorx will "close out" the year by storing your school's academic data for the current year and making room in the portal for the upcoming school year's information.
How Does it Work?
2
* Close Out Wizard Form
Closeout Wizard - Toward the end of the school year, Admin users will see a pop-up Closeout Form when they log into MySchoolWorx. This is to alert you to select a Closeout Date.
You may also get an email notification from us as a reminder that closeout time is approaching.
Complete the form (only one Admin from your school needs to complete and submit the Closeout Form) and we'll schedule your closeout based on the dates you provide us. Learn more about the form here.
When Should I Close Out?
3
You choose your data closeout date, based on when you expect to be completely finished entering grades and attendance for the year.
We highly recommend doing so as close as possible to your last official days of school for the year, however, to allow sufficient time for archiving. Learn more here.
What Happens to Our Portal in the Process?
4
Students - All students will be promoted to the next grade level unless otherwise indicated by you in your Closeout Wizard form*. Students who are in the highest level offered (i.e. 12th Grade students) will graduate out of the system. After closeout is completed, graduated students' data will still be accessible by going to the past year. Learn more here.
2024/25 Setup - Once our team has completed the closeout process, we will email you to confirm that it's completed, and you can start making any adjustments to your portal and setting up your classes for the upcoming year. The new year setup guide is available here.
After Closeout, Where Can I Find My 23/24 Data?
5
Your 23/24 academic year data will be moved to the "Grading Period" section of your Admin's portal and will be easily accessible from that "drop-down", so you can access it anytime you need it (along with other previous years' data) safely and securely.
